When you use Bing Pilates Limited services your personal data will be handled under the requirements of the General Data Protection Regulation (GDPR) 2016.

 

The privacy and handling of data that identifies living individuals is important to us, we will operate a ‘by default and by design’ set of procedures to meet the requirements of the GDPR. We will be acting in the capacity of data controller and data processor. What information do we ask for and how do we secure it?

At Bing Pilates we hold your name, address, phone and email details. This is so that we can contact you about your bookings, changes or possible disruption. We need your home address in order to process card payments and knowing your whereabouts will allow us to notify you in case

of road closures. We ask for your date of birth as this may be relevant to your practice and we also keep emergency contact details in case of an incident at the studio. This information is kept within password protected and encrypted folders on our system.

In order to effectively offer Pilates in a safe way to clients we will ask for your relevant medical history, this is kept in hard copy on your file only.

 

We may also collect your name, email address and phone number if you contact us through a contact form or make a class booking.

Payments for classes / bookings made through this site are processed by Paypal. We do not hold payment information on bookings made through this site.

 

As an ongoing client booking blocks or memberships we will collect payment details from you to process payment for our services. Data will be held and processed only for as long as required for legal reasons.

 

Acces to Information

You can ask to see the information we hold for you at any time. Your data is only available to you and authorised Bing Pilates staff with a legitimate reason to use it.

 

We do not share your information with any third party. If you are under the care of another practitioner, be that a doctor or physical therapist we will ask that you pass on any relevant information rather than us speaking to them directly unless both parties have your express permission.

 

Your "right to be forgotten"

You have the right remove consent at any time, please inform our team and your details will be removed from the system and paper files destroyed. Please note that we are obliged to retain health information and notes written by our teachers about your practice for 7 years in order to comply with our insurance requirements, however, only your name will be retained, not your contact information, and the information will be held in paper copy only.

The right to request access to your personal data and information about how we process it

The right to rectification – we will correct your personal data if it’s inaccurate and complete any incomplete personal data. It is your responsibility to ensure that you submit true, accurate and complete information to us.  You have the ability to change certain information via your online account (such as email and address).

The right to erasure – you have the right to request that we delete personal data that we hold about you.

The right to restrict processing

The right to Data Portability – move, copy or transfer your personal data

 

 

Online data storage

All data is stored within password protected and encrypted folders on our system.

 

Communication Consent Agreement

We will ask you to sign a clear agreement to our use of your data as described above when you start with Bing Pilates.

 

Marketing Communications

We will ask for a separate consent if you wish to receive our studio newsletters with special offers for clients. You have the right to opt out at any time.
